Travel Advisor Confessions
“Can’t I just book it myself?”
I get asked this question all the time. And the answer? Absolutely. You can book your own destination wedding. Just like you can paint your own house, change the transmission in your car, or cut your own hair.
The question isn’t can you.
The question is do you want to?
Because here’s the thing most people don’t realize. A destination wedding isn’t just planning a wedding. It’s planning a vacation for dozens of people, each with their own schedules, budgets, travel experience, room preferences, questions, and last-minute surprises.
It’s flights. It’s airport transfers. It’s room blocks. It’s travel protection. It’s making sure guests complete their Mexico Visitax or the Dominican Republic entry requirements.
It’s coordinating with the resort, transportation companies, wedding department, and sometimes outside vendors.
And that’s before anyone has even boarded a plane.
Every destination wedding deserves my full attention.
Quality Over Quantity
Why I Only Accept Destination Weddings Every Other Month
I’ve been a destination wedding travel advisor for four years and have helped plan more than 20 destination weddings.
Some people may hear that number and think, “Only 20?”
Yep. And there’s a very clear reason for that.
One of the largest weddings I’ve managed had nearly 100 guests spread across 49 rooms in Costa Mujeres, Mexico. That wasn’t simply one reservation.
It was dozens of families arriving on different days, flying from different cities, requesting different room categories, changing flights, asking questions, needing transfers, purchasing travel protection, and making payments on different schedules.
Now imagine juggling several weddings like that during the exact same month.
Could I? Probably.
Would I be giving every couple the attention they deserve? Absolutely not.
That’s why I intentionally schedule weddings every other month, and I don’t accept destination weddings in November or December.
I’d rather serve fewer couples exceptionally well than stretch myself too thin.
Let’s Clear This Up
The Biggest Misconception About Travel Advisors
The biggest misconception?
“It’s easy. I can just book it myself.”
And honestly, you’re right. You absolutely can.
I’m never going to tell someone they can’t book their own destination wedding. But here’s what I will tell you.
More than likely, you’ve never stayed at the resort you’re considering. You’ve seen the gorgeous Instagram photos. You’ve watched the TikTok creator with a million followers telling everyone to book it immediately.
That’s great. But that influencer doesn’t know you.
She doesn’t know your wedding vision. She doesn’t know your budget. She doesn’t know your guest list. She doesn’t know that Grandma needs an elevator, your fiancé doesn’t eat seafood, or that you’re dreaming of a calm beach instead of a party pool.
Just because a resort is beautiful doesn’t mean it’s the right resort for your wedding.
That’s where I come in.
My job isn’t to find the prettiest resort. It’s to find the right one for you.
Behind the Scenes
My Job Starts Long Before You Pack Your Bags
Most people think I book rooms.
That’s only a small part of what I actually do.
Before your guests arrive, I’m communicating with resorts to confirm availability and find the best rates. I’m coordinating room blocks, answering guest questions, helping guests choose room categories, managing payments, updating reservations, confirming airport transfers, monitoring deadlines, and checking entry requirements.
I’m communicating with resort teams, transportation companies, wedding departments, and vendors.
I’m reviewing confirmations, checking reservation details, looking for construction updates, monitoring resort renovations, and catching changes before they become a problem.
Depending on the size of the wedding, I can easily exchange hundreds of emails, texts, and phone calls from the time the couple books until everyone returns home.
“Depending on the size of the wedding, I easily exchange hundreds of emails, texts, and phone calls before anyone even boards a plane.”Behind every seamless wedding is a lot of communication
A Real Arrival Day Story
Let Me Tell You What Happened at Majestic Costa Mujeres
One of my weddings last year was held at Majestic Costa Mujeres.
It’s a beautiful resort. The grounds are gorgeous. The food is amazing. But they definitely had a few things to work through.
Guests began arriving, and that’s when the chaos started.
I received multiple calls that evening from guests who weren’t given the rooms they reserved. Some had been moved to the family side of the resort without compensation. Other reservations didn’t match what had been confirmed months earlier.
Come to find out, the resort had overbooked certain room categories.
Yes. Overbooked.
That’s when things got real, and I had to send a few emails that weren’t exactly full of sunshine and rainbows.
After several calls and a lot of communication, I was able to get the guests who had been moved compensated. They were also given access to the adults-only side, and another guest received a complimentary upgrade.
Meanwhile, my couple and their guests could start enjoying their trip after a long travel day because they knew I was handling it.
“While they were enjoying their vacation, I was handling it.”
The Small Details Matter
Sometimes the Disaster Is a Transfer That Wasn’t Updated
Not every problem looks dramatic.
Sometimes it’s something as simple as an airport transfer.
Two days before one wedding, I was doing what I always do. I was skimming through every email one last time.
I noticed a guest had changed their flight, but the airport transfer hadn’t been updated.
It was almost 11 o’clock at night.
I immediately called Amstar to correct the reservation.
Can you imagine landing in Cancun after a long day of traveling only to realize no one is there to pick you up?
I would have flipped.
Thankfully, my clients never had to experience that because the mistake was caught before it became a problem.
Those are the moments no one sees. They’re also the moments that make all the difference.
When the Questions Begin
Sometimes Couples Hire Me After They’ve Already Booked
Believe it or not, this happens more often than you’d think.
A couple books their destination wedding on their own. Everything seems fine until the guest questions begin.
“Where do I book?”
“Can I arrive a day early?”
“What airport do I fly into?”
“Do I need a passport?”
“Can my kids stay in my room?”
“What happens if my flight changes?”
“What transfer company should I use?”
Eventually, the couple realizes they’re spending more time answering travel questions than enjoying their engagement.
That’s usually when my phone rings.
Because suddenly, they don’t just need someone to book travel. They need someone to manage it.
“The questions never stop. That’s usually when my phone rings.”You deserve to enjoy being engaged too
Read the Fine Print
The Biggest Mistakes I See Couples Make
The biggest mistake?
They don’t read the fine print.
Destination wedding resorts all have different policies. Some charge additional fees for outside vendors. Some require every guest attending wedding events to stay within the room block. Some have mandatory restaurant reservations. Some charge day-pass fees. Some have multiple properties with nearly identical names.
I’ve seen guests accidentally reserve the wrong resort because the names looked almost identical online.
I’ve seen couples surprised by vendor fees they didn’t know existed.
I’ve seen beautiful resorts that looked perfect online but had beaches that didn’t match the couple’s vision.
The details matter.
Social Media vs. Expert Guidance
Instagram Doesn’t Know You. I Do.
A beautiful resort can still be completely wrong for your wedding vision, guest list, budget, or priorities.
One of my favorite examples involves Dreams Natura.
Is it beautiful? Absolutely.
Is it highly recommended for destination weddings? Yes.
Would I recommend it to everyone? No.
I once had to talk a couple out of booking it because one of their biggest priorities was having a beautiful beach.
Dreams Natura has so many wonderful qualities, but the beach simply wasn’t the experience they were envisioning.
Could I have booked it anyway? Sure.
Instead, I recommended something that better matched what they actually wanted.
Because that’s my job.
Beyond the Price Tag
The Things Couples Forget to Consider
Budget matters, but it shouldn’t be the only thing driving your decision.
I’ve had couples tell me they don’t want more than a 25-minute transfer, only to send me resorts that are 90 minutes away because the price looked good.
I personally love resorts that don’t require mandatory dinner reservations. You’re on vacation. You shouldn’t have to stand in a long line just to be told the earliest reservation for the Italian restaurant is at 10 p.m.
Beaches can change with weather and seasonal sargassum, but some areas consistently offer calmer water, softer sand, wider beaches, or better wedding photo opportunities.
I consistently check for airport construction, road work, resort renovations, and even construction next door. Nothing ruins your morning mimosa faster than jackhammers beginning at 7 a.m.
Similar names can mean completely different views, locations, amenities, and occupancy limits. Choosing the wrong category can create headaches before the trip even begins.
The Best Part of My Job
I Love Getting to Know My Couples
People ask me all the time what my favorite part of this job is.
Honestly? It’s getting to know my couples.
I’m a total rom-com girl. I want to hear how you met. Tell me about your first date. How did the proposal happen? Give me all the details.
I genuinely love love.
Then I get to know your guests too.
I learn who the fun aunt is. Who has been best friends since kindergarten. Who is flying internationally for the first time. Who is nervous. Who is celebrating a milestone.
I love learning where they came from and how they know the couple because it gives me a glimpse into your life.
Those relationships matter because they help me take better care of everyone traveling.
When Timing Matters
Yes, I’ve Answered Clients While I Was Traveling Too
People also ask if I ever work while I’m on my own personal trips.
The answer is yes.
I’ve answered destination wedding clients while on family vacations. I’ve responded during family weddings. I’ve stepped away from dinner. I’ve answered messages late at night.
Now, if your wedding is six months away and you’re wondering whether the resort offers daisies for your centerpieces, that message can probably wait.
But if you’re currently traveling, standing in an airport, missing a flight, waiting for a transfer, or dealing with something affecting your wedding week, I’m answering.
Because when you’re traveling, timing matters.
My Advice to Every Destination Bride
You Don’t Have to Plan This Alone
If I could give every destination bride only two pieces of advice, they would be these.
First, allow yourself to get help.
Whether it’s a travel advisor, wedding planner, or trusted support system, you don’t have to carry every responsibility yourself.
You also have to be willing to let go of some responsibilities and trust the professionals you hired.
You deserve to enjoy your engagement.
Second, accept that not everyone will be able to attend.
I know that’s difficult.
It hurts when your favorite aunt, closest cousin, or longtime friend cannot make it. But everyone’s financial situation is different, and some people simply won’t be able to swing it.
That doesn’t mean they don’t love or support you.
Your wedding is about celebrating with the people who can be there, not feeling guilty about the people who can’t.
The Honest Answer
So, Do You Need a Destination Wedding Travel Advisor?
No. You don’t technically need one.
But if you’d rather spend your engagement celebrating than answering hundreds of travel questions, it can make all the difference.
If you’d rather enjoy your wedding week than fight with a resort over room assignments, it can make all the difference.
If you’d rather have someone double-check reservations, monitor updates, communicate with vendors, and catch problems before they become disasters, it can make all the difference.
This is your time to enjoy being engaged.
You don’t want to look back and remember being stressed, buried in guest questions, and stuck in the weeds of travel planning.
You want to look back and say it was one of the happiest seasons of your life.
“I’m not just booking your destination wedding. I’m protecting your peace while you plan it.”
